Connecting your website, Telegram and CRM without losing enquiries

What should happen after form submission: saving, delivery, duplicate prevention and response tracking.

Connecting your website, Telegram and CRM without losing enquiries

A website form is only the start. Dependable enquiry processing means saving the data, creating a CRM record, assigning responsibility and checking that the customer receives a response. Chat notifications are useful, but they do not replace a record of the work.

The key idea

Choose one primary system of record and test the complete enquiry path. A notification and a completed customer response are separate events.

Choose the source of truth

When a CRM owns the customer and enquiry status, Telegram can notify the team and link to the relevant record. Maintaining parallel statuses in a spreadsheet, chat and CRM creates discrepancies.

A small team may use a simple database or spreadsheet with clear rules. The essential requirements are a single status source, an owner and recoverable history.

Transfer the right information

Collect what the team needs: contact details, service, message and source. A unique enquiry identifier connects events across systems. Fields must have the same meaning on the website and in the CRM.

Avoid copying unnecessary personal data into a shared chat. A notification can contain a short task and a link to a protected record. Agree on access and retention for the specific process.

Handle duplicates and outages

A visitor may press submit twice, and a service may deliver the same event again. The integration should recognise an already processed identifier instead of creating a second order.

If the CRM is unavailable, save the enquiry for another delivery attempt. Notify a person after repeated failures. Unbounded retries can create duplicates or overload another service.

Test from the customer's perspective

Submit a mobile form, confirm storage, open the CRM and check the assigned manager. Then repeat the event, make a service unavailable in a test environment and try incomplete data.

Check the success message separately. The website should not claim that an enquiry was accepted if it was lost. Provide a clear contact alternative when submission fails and record the technical problem.

Monitor after launch

Reconcile accepted enquiries against created records. Track delivery delay, errors and time to first response. If staff are not responding, an additional integration alone will not resolve that issue.

Assign an owner for failure notifications and document manual handling. This makes the integration part of a working process rather than an invisible script remembered only after a lost customer.

One customer across several channels

A website enquiry followed by a Telegram message may belong to one person. Agree matching identifiers, such as a verified phone or email; a name alone is unreliable.

Separate contacts from deals. A returning customer with another project is not necessarily a duplicate. Preserve origins and define which fields updates may change. Do not promise universal Telegram-to-website matching. Available identifiers depend on the connection and information supplied; uncertain matches should go to a manager.

Integration, CRM setup and custom development

Sending a form to an existing CRM differs from configuring pipelines or building a new product. Each requires its own scope, responsibilities and maintenance.

Check the available API and subscription before quoting. Migration, two-way synchronization and complex permissions should be explicit additional work. A website and Telegram app can share CRM infrastructure. The actual flows determine scope; a shared module does not mean unlimited connections or scenarios.

Test retries and conflicting updates

Disable CRM access and send an enquiry. Check storage, notification and recovery. Replay an event to ensure retries do not create unwanted duplicate records.

Test missing fields, phone formats, languages and simultaneous updates. Set source priority so an old value cannot silently overwrite a new one. Reconcile received, recorded and pending events. One successfully delivered enquiry does not prove the whole queue works correctly.

Documentation for the team

Provide a field map, duplicate policy, status diagram and manual recovery instructions. Managers should understand the behaviour without reading code.

Protect keys separately from documentation. Name the CRM owner and explain which field or pipeline changes affect connected workflows. During acceptance, follow an enquiry end to end with a manager. Working customer history and recoverability matter more than a label saying the integration is connected.

What to check

  • Choose the primary enquiry system.
  • Transfer clear fields and a unique identifier.
  • Test repeated delivery and CRM outages.
  • Monitor delivery and the actual customer response.
